The Inbox: Managing Conversations & AI Responses

The Inbox is the main hub for all your text-based communications inside your AI builder platform. Here, you’ll find SMS, Instagram DMs, Facebook DMs, and chat widget messages—all in one place—making it easy to manage and track every conversation with your leads and customers.

 


 

Navigating the Inbox

  • Conversation List: On the left, you’ll see a searchable list of conversations. Each conversation shows the contact’s name or, if not yet known (such as with a new chat widget interaction), a unique identifier. The name updates automatically once captured.

  • Conversation Screen: The center of the inbox displays your selected conversation.

    • Blue bubbles: Outbound messages sent from the CRM (manual or via workflow)

    • Black/green bubbles: AI-generated responses

    • White bubbles: Incoming messages from contacts

 


 

Fine-Tuning AI Responses

Under every AI-generated message (black/green bubble), you’ll see thumbs up and thumbs down buttons.

  • Thumbs up: Approve and save a good AI response to your knowledge base for future use.

  • Thumbs down: Provide the ideal response, so the AI can learn and improve next time.

💡 Tip: Regularly use the thumbs feedback to quickly tune your AI’s quality and accuracy for future conversations!

 


 

Using the Logs Tab

  • Logs: Access the “Logs” tab on the top right for deep insight into every interaction. Key columns include:

    • Active: Indicates if an active assistant (AI) handled the message

    • Status: Shows message delivery/handling success

    • Timestamp: When the event occurred

Click the down arrow for additional troubleshooting details—helpful if the AI isn’t responding as expected.

Active Tag Note:
If no green assistant name appears, there may not be an active tag recognized or set up. The AI won’t respond without it!

Outbound & Manual AI Responses

  • Click the person icon in the top right to send a manual AI outbound message—pick your assistant and let the AI generate a reply for that specific contact.

  • Use the trash icon to delete unwanted conversations.

Managing AI Response Limits

You’ll also see an AI response counter that tracks how many AI replies have been generated in each conversation. You can set these limits in the autopilot/assistant settings to prevent misuse or endless free play, keeping your AI focused on genuine leads and customers.
